Did you know Microsoft Office 365 isn’t automatically backed up?

Published September 2022

Microsoft Office 365 was not built to provide data protection services. You, therefore, need a backup solution to avoid data loss due to:

  • Accidental or malicious deletion
  • Malware/ransomware
  • System and human errors

Here are just 6 things you need to know right now, and why you need backup for Microsoft Office 365 –

  • Microsoft’s backup protection is part of a shared responsibility model, they offer data storage replication and redundancy as well as protection from natural disasters, but what if a user mistakenly deleted a critical file, then what? You are responsible for protecting your own data from human error. If you are not proactive about this, then Microsoft isn’t going to help you. You need to have a disaster recovery plan for your Microsoft 365 data because Microsoft doesn’t include native backup options
  • When employees leave, they deactivate an account licence, losing files created by those employees forever. A backup solution can archive that, so you maintain ownership of your precious data.
  • Ransomware attacks happen more than once a day, so office 365 daily back-ups are not good enough, you will need multiple back-ups to protect all your daily data.
  • Without a backup solution in place if a SharePoint administrator deletes a collection all data goes in the recycle bin for a short period…and is then permanently deleted.
  • Restoring data can cause more problems than solving them. The restore is targeted at the same URL, overwriting whatever data exists on the site, and worse still, there’s no rollback option.
  • Ransomware should not be a gamble. Whilst there is always vulnerability to determined operators, or well-meaning individuals, by having point-in-time back-ups, you can easily restore individual items or entire folders to a point in time before the infection.
